Your privacy and the protection of your personal information are important to Sacraw Financial Corp. (“Sacraw Financial”, “we”, “us”, or “our”). This Privacy Policy describes how we collect, use, disclose, and protect personal information when you visit our website sacraw.com (the “Website”) or purchase a policy through us. This Policy complies with the Personal Information Protection and Electronic Documents Act (PIPEDA) and other applicable Canadian privacy laws.

By accessing or using the Website or our services, you agree to this Policy and to our Terms of Service. We may make changes to this Policy from time to time to reflect updates to our practices or for operational, legal, or regulatory reasons. The Policy is current as of the date at the top of this page.

1. Personal Information We Collect

“Personal information” means information about an identifiable individual, excluding aggregated or de-identified information that cannot reasonably be associated with a specific individual, and excluding information that is publicly available under applicable law. The personal information we collect includes, but is not limited to:

  • your name and contact details (phone number, email address, mailing address);
  • your date of birth, age, and gender;
  • your province or territory of residence;
  • your trip information (destination, departure and return dates, trip cost);
  • your health and medical information, when required to assess eligibility or process a claim;
  • your financial information (including payment-card data collected transiently at the point of purchase);
  • any claims history you disclose to us;
  • records of communications with our brokerage team; and
  • technical information such as your IP address, device type, browser, and usage data from the Website.

2. How and When We Collect Your Information

We collect personal information:

  • directly from you (or your authorized representative) when you request a quote, purchase a policy, contact us, subscribe to communications, or interact with the Website;
  • automatically through cookies and similar technologies when you visit the Website (see Section 8);
  • from our underwriter partners (such as TuGo Travel Insurance) during the quoting, binding, and servicing of a policy; and
  • from other third parties you have authorized to share information with us (for example, a family member arranging coverage on your behalf).

We only collect the personal information that is reasonably necessary for the purpose for which it is being provided.

3. Why We Collect and Use Your Information

We collect and use your personal information to:

  • provide accurate insurance quotes and recommend coverage that suits your trip;
  • submit your application to the underwriter for binding and policy issuance;
  • process payments and send you policy documents and confirmations;
  • communicate with you about your quote, policy, or claim, and respond to your enquiries;
  • assist you with claims by facilitating contact with the underwriter or claims team;
  • comply with legal, regulatory, and audit obligations applicable to insurance brokerages in Ontario;
  • improve our Website, products, and services, including through analytics and customer-experience research; and
  • with your consent, inform you about travel-insurance products and services that may be of interest.

We will not use your personal information for a purpose materially different from the purpose for which it was collected without first obtaining your consent.

4. Consent

We will inform you of why we need to collect your personal information before or at the time we obtain your consent. Consent may be express (for example, when you check a box or type your details into a quote form) or implied (for example, when you contact us to request a quote or purchase a policy). We will ask for additional consent when we need to use your information for a purpose not initially identified to you.

Withdrawing consent. You may withdraw your consent at any time, subject to legal or contractual restrictions and reasonable notice. Withdrawing consent may limit our ability to provide quotes, issue or maintain a policy, or assist you with a claim. To withdraw consent, contact our Privacy Officer using the contact details in Section 13.

5. Who We Share Your Information With

As a licensed insurance brokerage, Sacraw Financial shares personal information only where necessary to deliver the service you have requested, to comply with law, or with your authorization. The categories of recipients include:

  • Our underwriter partners (including TuGo Travel Insurance / North American Air Travel Insurance Agents Ltd.) for the purpose of quoting, underwriting, issuing, amending, renewing, and administering policies, and for claims handling;
  • Payment processors (including Adyen N.V., which processes credit-card payments on behalf of the underwriter) for the limited purpose of authorizing and completing a transaction;
  • Authorized employees and contractors of Sacraw Financial who require the information in the course of their duties;
  • Healthcare providers, assistance companies, and travel providers involved in a claim or emergency-assistance situation, where your policy entitles you to their services;
  • Technology service providers (such as website hosting, email delivery, analytics, and customer-support tools) that process information on our behalf under contractual privacy and security obligations;
  • Regulators and government or law-enforcement authorities when disclosure is required or authorized by law, a court order, or a regulatory request; and
  • Any other party you have expressly authorized in writing to receive your information.

We do not sell your personal information, and we do not share it for third-party marketing purposes without your explicit consent.

6. International Transfers

Your personal information may be transferred outside your home province and outside Canada. Some of our technology service providers and the underwriter’s payment processor operate servers in jurisdictions such as the United States, the Netherlands, or other countries within the European Economic Area. When information is transferred to another jurisdiction, it may be subject to the laws of that jurisdiction, including the ability of law-enforcement or national-security authorities of that jurisdiction to access the information under their local laws.

We take reasonable steps to ensure that any third party receiving your personal information maintains safeguards comparable to those required under Canadian privacy law, typically through written contractual commitments.

7. How We Protect Your Information

We use administrative, physical, and technical safeguards to protect your personal information against unauthorized access, use, disclosure, alteration, or destruction. These safeguards include transport-layer encryption (TLS/SSL) on the Website, role-based access controls for employees and contractors, staff training on privacy responsibilities, and contractual commitments from our service providers.

Credit-card numbers, CVV values, and expiry dates entered into our quote flow are transmitted to the underwriter’s payment processor over secured channels and are not stored on our servers. No system can be guaranteed to be completely secure, but we work to meet or exceed industry-standard practices for the type and volume of information we hold.

8. Cookies, Analytics, and Device Information

Cookies. The Website uses cookies (small data files stored on your device) to operate correctly and to improve your experience. Some cookies are strictly necessary (for example, to remember your cookie-consent choice or your progress through the quote flow); others are optional and are used only with your consent. You can manage your preferences through the cookie-consent banner shown on your first visit, or through your browser settings. Disabling cookies may reduce the functionality of the Website.

Analytics. We may use analytics services to understand how visitors interact with the Website (for example, which pages are most visited, average session length, and where visitors arrive from). These services do not identify you personally and are used only to improve our services.

Device and log data. When you use the Website, we may automatically collect and store certain information in server logs, including your IP address, device type and model, operating system, browser type, the pages you visit, search queries you submit on the Website, and the date, time, and duration of your visit. This information helps us maintain the Website’s security and reliability and detect misuse.

9. Accessing and Correcting Your Information

You have the right to request access to the personal information we hold about you, subject to limited exceptions under applicable law. You also have the right to request that we correct information that is inaccurate or incomplete. To make an access or correction request, contact our Privacy Officer using the details in Section 13. We will respond within the timeframes required by applicable law. A reasonable fee may apply in limited circumstances.

10. Retention of Your Information

We retain personal information only for as long as necessary to fulfil the purposes for which it was collected and to meet our legal, regulatory, accounting, and contractual obligations. In general, we retain quote-only information for up to two (2) years, and policy-related information for at least seven (7) years after the end of the policy period, consistent with insurance-industry record-keeping requirements in Ontario. After the retention period expires, we will securely destroy, erase, or anonymize the information.

11. Children’s Privacy

The Website is not directed to children under the age of eighteen (18). We do not knowingly collect personal information from a child under 18 except with the consent of the child’s parent or legal guardian (for example, when a parent purchases a family policy that includes dependent children). If you believe we have collected information from a child without appropriate consent, please contact our Privacy Officer so we can delete the information.

12. Changes to This Policy

We may update this Policy from time to time. When we make a material change, we will notify you by email or through a notice on the Website. Your continued use of the Website after the change takes effect constitutes acceptance of the updated Policy.
